The Property Module is the central pillar of management and data collection in Fyxt. While the standard data collected is vast, applying Custom Fields yields limitless data tracking potential. Let's get started.
Property List Page
The Property list page supports standard Fyxt functionality like
- Views support users in viewing the data they want using a variety of filters, and the way they want by customizing the columns and column order of the each individual View. Users can create private Views or common Views accessible across the environment. Scheduling a recurring export to define contacts is also possible. Feel free to access the dedicated article on Views here.
- Table Functions allow users to customize the tabs visible in an expanded Property Detail page, to import data, export data, adjust columns/column order, and filters.
- Property Groups are accessible from the Manage button in the top right of the page. Property Groups offer dynamic organization capabilities, allowing you to categorize Properties based on your operational needs. Typical applications include grouping by asset owner or portfolio, property type (such as commercial or industrial), and geographic region.
- Custom Fields unlock unparalleled flexibility for tracking virtually any type of property data—whether capturing and storing information directly within Fyxt or establishing robust data endpoints for seamless integration with your broader software ecosystem. By empowering you to collect, organize, and centralize essential data, Custom Fields transform Fyxt into the definitive source of truth for your portfolio.
Property Detail Page
The Property Detail page consists of a left panel of Property Details and a right section composed of customizable tabs.
- Activity provides a transactional history of all changes made to the property, including the acting users and timestamps.
- Buildings & Locations deliver precise control over how each property is structured and managed. You can configure any number of buildings within a Property, and further define unlimited locations within each building. Locations can be classified as Admin, Common Area, Revenue, or Non-Revenue, and support customizable data fields to capture the details that matter to your operations. Examples of data tracked per location include square footage, fire extinguisher quantity and positioning with inspection dates, or accessibility elements such as ramps, elevators, and tactile signage. Leverage Location Templates to streamline configuration and ensure consistent, comprehensive data collection.
- Managers displays all property managers assigned to the selected Property's team. The table highlights which managers are designated as Primary Managers and provides a clear view of their specific permissions at the property level. Property Permissions can be customized independently from a user's general User Role, giving teams the flexibility to align Fyxt access controls with their operational workflows.
- Engineers provides a comprehensive list of all engineers assigned to the Property's team. The table identifies which engineers are set as Primary Engineers and displays their rates, which can be customized for each property. This level of flexibility enables teams in Fyxt to tailor their staffing configurations to accurately reflect on-the-ground operations.
- Leases populate all current Leases in the Property. Selecting a lease will navigate to the Leases Module with the selected Lease expanded, allowing users to view abstract terms, relevant dates, and more.
- Tenants populates all Tenants in the Property. Selecting a Tenant will navigate to the Companies Module with the selected Tenant expanded, supporting viewing relevant contacts at the company, any other properties they hold leases, and more.
- Vendors populates all Vendor companies servicing the Property. Selecting a Vendor will navigate to the Companies Module with the selected Vendor expanded, supporting viewing relevant contacts at the company, any other properties they service, and more.
- Jobs consolidates every Job completed at the Property. Select any Job to view it's details.
- COI consolidates every COI for every Company associated to the Property. Like other tabs, selecting a COI will navigate to that record in the COI Module.
- Files provide robust capabilities for storing, accessing, and automatically routing documents to Jobs. Integrated with the Fyxt File Manager, the system organizes files into relevant folders for streamlined access. For example, the Jobs folder houses all Jobs completed under the Property, while each individual Job folder contains all associated files, such as submitted bids, invoices, photos, and more. Files can also be configured to include automated reminders to defined parties or auto-populate in Jobs created under a Property—for example, Property Management Agreements can be made readily accessible to managers within each Job.
- Owners consolidates all companies of type Asset Owner that are assigned to the selected Property.
- Companies aggregates all organizations associated with the selected Property. While the Tenant, Vendor, and Owner tabs highlight specific company roles, the Companies tab serves as a comprehensive directory—including service providers, utility companies, legal partners, and additional business entities connected to the property.
- Contacts functions as a central directory, bringing together every contact from all companies linked to the Property.
- Notes provides an internal and confidential place to share relevant information about a Property and it's operations with the management team.
- Equipment consolidates all equipment assigned to the property. Selecting an Equipment record will navigate to the Equipment Module with the selected record expanded, allowing users to reference service histories and more.
