Why Use Contacts?
Fyxt enables your teams to record essential contacts for effective communication in various situations. There are no restrictions on the types of contacts you can log in Fyxt, whether they are related to legal, accounting, investment, or vendor services.
Once you have documented your contacts, your teams can associate them with Properties, Vendor Companies, Tenant Companies, and more. As you organize these contacts, you may wish to highlight those who are particularly dependable, occupy managerial roles, or serve as your initial point of contact. To facilitate this, Fyxt allows you to designate these key individuals as Primary Contacts.

How to use Primary Contacts
Primary Contacts help your teams route communications effectively, maximizing the chances that they are seen and acted upon. Alongside pointing your teams to relevant individuals, Primary Contacts carry some special functionality when assigned to Vendor Companies.
When managing Vendor Companies, identifying a Primary Contact is crucial. These are the individuals who will receive Jobs sent to the Vendor Company. Without them, Jobs cannot be received by a Vendor Company.
Managing contacts associated to a company is as simple as navigating to the contacts tab of the company of interest. You can either create a new contact, or select existing contacts. Once contacts are added to a company, you can select the 3 dot menu to designate them as a Primary Contact.
When managing a company's contacts, it's important to note that a single company can be linked to multiple properties, and not all contacts will be relevant for each of those properties. To address this, Fyxt allows your teams to specify which contacts are pertinent to which properties. This mapping is crucial, as it determines whether notifications related to Jobs at a property will be sent to the appropriate contacts.
For instance, consider your teams collaborating with the national vendor, Stanley Steamer. If your portfolio includes properties located in Texas, California, and Washington D.C., it’s essential to ensure that a Service Request for a Texas property is directed to the appropriate local vendor rather than mistakenly sent to a vendor in California. This is accomplished by mapping each contact to their respective properties—linking your Texas contact to the Texas properties, your California contact to the California properties, and so on. This careful mapping guarantees that notifications regarding Jobs are sent to the right contacts based on the specific property involved.
Contacts vs Users
Vendor Companies do not support User invitations, as they access Fyxt exclusively through external links. In contrast, Tenant Companies can invite contacts as Users, enabling them to log into Fyxt and interact with Jobs and general maintenance tasks. To invite a tenant user, simply navigate to the Users tab of a Tenant Company, click the Invite Users icon, and select from permissions and eligible Contacts. Remember, users can only be invited to Tenant Companies associated to a current lease.
