How to Use Fyxt's Vendor Job Link

This article is meant for maintenance vendors who have received a job link from a real estate client. You will learn how to use the link to keep track of the job and communicate with the client.

How you get the link

Your client will send you a message with the link/URL of the job. The message might be personalized and from the client themselves, OR it might be an automated message sent by Fyxt. Depending on how the client set you up in their system, you will receive the message with the link/URL via an email, text message, or both.

When you first open the link

When you click on the link on your phone or computer, you will be taken to a web page that displays the job:

This home page of the job will let you know a few things:

  • The description of the job, its priority, and the target completion date

  • If the manager wants you to begin work or wait for approval

  • If any specific actions are required, such as submitting bids or posting photos

  • If any checklists are on the job

Checking the scope

Beyond the description of the job, the client might have specific instructions or scope limitations they want you to see. To check these, go to the Scope & Instructions section:

Showing Interest in a job

When you first open a job that a client sent to you, there will be a message asking if you are interested or not:

Clicking accept does not mean you are agreeing to do the job; it just lets the manager know you have received the job link and want to learn about the job more.

If you want to click around the job before saying you’re interested, you can! You can read the description in more detail, or even go check any of the added checklist items you would need to complete.

Accepting and Declining

If you decline a job, it lets the manager know you don’t want to proceed any further.

If you accept a job, it lets the manager know you want to proceed further, possibly toward bidding, a visit, or actually completing the work.

After accepting a job, the screen changes:

The job details hide, and let you see all the tools you can use to interact with the job. If you need to see the job details again, you can click here:

   

Scheduling site visits

Once you have shown interest in a job, you can propose site visit dates for fact-finding or the service itself. To do this, go to the Schedule section and click the plus button.

        
 
 After you submit a site visit request, it will be in “Proposed” status:
 

If the manager approves or rejects the proposed date, you’ll be notified and the proposal’s status will change:

 

Messaging the client

If you have any questions for your client, you can go to the messages section and click the plus sign:

        
Whatever messages you type here will get sent to the client’s Fyxt software.
 

The client can also send you replies through this system.

Submitting files (bid, invoice, photos, etc.)

If you ever need to add a file to a job, such as a bid, and invoice, or a photo, go to the photos and files section and hit the plus sign: 

Select the file type you want to upload. For bids, invoices, and change orders, a special form will appear:

     

At minimum, you need to input a total dollar amount and a title for bids and invoices.

You can also write descriptions, exclusions, and even add line items for more detail.

If you have official paperwork for your bids and invoices, you can add images or PDFs to this form before submitting.

After submitting a bid, invoice, or change order, it will appear in the proposed status:

 

After the client has a chance to review it in Fyxt, they can approve or reject it, which notifies you:

 

Being approved for work

Once the client approves you for work (possibly after receiving a bid) you will be notified and able to change the job’s status:

    
Changing the status will notify the client where you are in completing the job.

In addition, you can then edit checklist items on the job:

Finding contacts information

If sending messages through your Fyxt job link isn’t working well for you, or you just want to send an email or make a phone call, you can view contact information at the very bottom of the job.

You cannot see this contact information automatically. In order to show you the client’s contact information, you must verify yourself. Click the “request contact info” button:

 

 

 

 

 

 

After doing this, you must provide the email or phone number you got the vendor link from:

Fyxt will then send you a one time code to that same email or phone number. After inputting that code, you will be able to see the client’s contact information.

 

Viewing Other Jobs

A client might have sent you more than one job through Fyxt. You can click any job link that client sent you, and then click the “all jobs” button:

This will take you to a list of all other open jobs that client has sent you:  

 

You can click on any of these jobs to view their dedicated page that has all the features shown in this document.
